IRMI brought BTF Indy in to cover the full run of the 45th Construction Risk Conference (CRC 2025) at the JW Marriott Indianapolis — two consecutive days built around a national audience of construction, insurance, and risk-management professionals. This wasn't a single keynote to catch: from 7 AM registration through the final Tuesday reception, general sessions ran alongside competing breakout tracks, an awards lunch, and a full floor of sponsor activations, often at the same time.
Working directly with Heidi Vincent (VP of Marketing) and Eric Mitchell (Conference Sponsorship Coordinator), the brief was to capture the energy, scale, and professionalism of the conference — strong visuals of speakers, sponsor branding, and networking — in formats usable for a recap video and ongoing marketing content.
A two-track, two-day national conference can't be covered by one shooter walking one room. BTF Indy built a three-person crew for CRC 2025 — a photographer on-site both days, and two videographers splitting Monday and Tuesday — so parallel breakout sessions, sponsor moments, and general sessions all got covered without gaps.

The client's own shot-list spreadsheet, spanning both conference days session-by-session, became the coverage guide. Every shooter worked under BTF Indy's standard professional conduct terms — business casual, no discussing pricing on-site, no behind-the-scenes posting — to protect the brand they were representing.
Monday opened with registration and signage coverage before splitting into the general session, competing breakout tracks on design-build and contractor liability, the sponsor-branded awards lunch, and dessert with exhibitors. Tuesday carried the same pace — a sponsored breakfast, the IRMI Bootcamp group photo, the Women in Construction Networking Event, back-to-back Snap Talks, and a sponsor reception to close the conference.
Photography was delivered as RAW files plus lightly retouched, color-corrected selects. Video was captured in 4K at 60fps, with 120fps slow-motion coverage where the moment called for it — both formats turned around within 48 hours of the final day, built for a conference recap video and short sponsor-facing promotional clips.
