01 — The Brief

A real budget, a real deadline, no room for a big footprint.

COABE — the national association for adult basic education professionals — needed on-site headshot coverage for its April 2026 national conference at the JW Marriott Indianapolis. Working directly with nonprofit event contact Michelle Chiles-Fourcoy, the ask was straightforward: professional, LinkedIn-ready headshots for attendees and speakers across both conference days.

The constraint was just as real as the ask — a tight nonprofit conference budget with no room for a multi-photographer setup. Michelle confirmed interest in a single station built around volume and budget, not scale for its own sake.

02 — The Approach

One station, built to move fast without feeling rushed.

Rather than pitch a bigger footprint than the budget called for, BTF Indy scoped a single, efficient headshot station — clean studio lighting, a consistent backdrop, and guided posing built for non-models moving through a line quickly.

Executed a high-efficiency headshot activation designed for scale, delivering consistent, professional results while enhancing attendee experience.

Video capture ran alongside the headshot station, giving COABE supplementary content without adding a second setup to manage on-site.

03 — The Execution

Two days, one line, hundreds of finished headshots.

The station ran continuously across April 13–14, with attendees and speakers moving through steadily rather than waiting for a scheduled slot. In total, 320+ headshots were captured — with the majority reviewed, selected, and delivered in real time, so attendees could see their finished image before leaving the conference floor rather than waiting weeks for a gallery link.

Jordan captured supplementary video content in parallel, giving COABE a second content stream from the same footprint and the same two days on-site.

04 — The Result
